Legal Assistant VA – Law Firm
✅ Function as an executive assistant to a Paralegal, team of paralegals, or a specified legal department.
✅ Help Paralegals to scale administrative and client communication tasks, to help the team scale the number of cases each individual or team can handle.
✅ Document and packet preparation for specific case filings.
✅ Input and fill out basic and pertinent information on case documents/packets, as guided by the legal department, to scale the ability to process more documents and cases.
✅ Take calls from case clients, answering questions via email and phone.
✅ Offer quality customer service in client interactions.
✅ Document all new case updates in CRM, to ensure full transparency on every touch point of a case life cycle, reducing the need for the paralegal to manage such administrative tasks.
✅ Conduct research in state and federal filing dockets, ensuring alignment with firm objectives and or seeking case updates and next steps in the case life cycle.
✅ Communicate with opposing parties any relevant information, or coordinate scheduling meetings where required.
✅ Liaison with all third parties, whether they be federal agencies, state agencies, medical offices, insurance companies, or any related third party that is associated to a specific case.
✅ Offer timely and relevant updates to case clients related to updates and/or requirements and obligations that they must be informed of.
✅ Key asset in scaling the operation of a paralegal’s caseload or a legal departments human capacity to process more case work.
✅ Work with Paralegals in ensuring timely filing of documents.
✅ Fill out retainer documents and ensure timely onboarding of new clients to the firm.
✅ Fill out notice of representation documents to prepare them to be sent to relevant third parties, as required by firm procedures.
✅ Fill out deposition notices to be sent via email and/or physical mail, as required related to specific case requirements and firm procedures.
✅ Communicate with attorneys any relevant information.
✅ Serve as a translator/interpreter for Spanish/English bilingual requirements with clients. Sit on consultations, meetings, or any related interaction where attorney or paralegal requires interpreter/translation.
